Data Deletion Policy
1. Purpose
This policy explains how to ask MetaBloom Ventures LLC, a Wyoming limited liability company ("MetaBloom", "we", "us"), to delete personal data we hold about you, and exactly what happens after you ask. It supplements our Privacy Policy, which describes what we collect and why.
2. What data we typically hold
metabloomventures.com has no user accounts, so the personal data we hold usually comes from correspondence:
- Emails you sent us, including demo requests composed through the Site's form, with the details they contain (name, work email, organization, phone number, expo details, message).
- Notes from calls or meetings you had with us.
- Technical server logs held by our hosting provider (IP address, request data), on that provider's standard retention schedule.
3. How to request deletion
Email hello@metabloomventures.com with the subject line "Data Deletion Request".
Send the request from the email address whose data you want deleted, or name that address clearly in your message.
Please include: the email address or other identifier the data is connected to, and, if you want only some data deleted, a description of what to keep and what to remove. You may also submit a request on someone else's behalf with their written authorization.
4. How we verify your identity
Before deleting anything we confirm the request is genuine. Usually, sending the request from the affected email address is sufficient. If the request comes from a different address, or anything seems inconsistent, we will ask a few clarifying questions or request reasonable proof of identity. We never ask for passwords or government ID numbers by email.
5. Timeline
- Acknowledgment: within 7 days of receiving your request.
- Completion: within 30 days of verification. If a request is unusually complex we may extend this once, by up to 30 further days, and we will tell you why.
- Confirmation: we email you when deletion is complete.
6. What deletion covers
On a verified request we delete the emails and records connected to you from our active mailboxes and files, including your contact details and the content of your inquiries. Where full deletion is not possible, we anonymize the data so it can no longer be connected to you.
7. Exceptions
We may keep limited data after a deletion request only where a genuine reason requires it:
- Legal obligations. Records we are required by law to retain, for example tax and accounting records connected to a signed agreement.
- Active agreements and disputes. Data needed to perform a contract still in force with you or your organization, or to establish, exercise, or defend legal claims.
- Security. Minimal records needed to prevent fraud or abuse, kept no longer than necessary.
- The deletion request itself. A minimal record that a request was made and honored, so we can demonstrate compliance.
If an exception applies, we will tell you which one and delete everything not covered by it.
8. Backups
Deleted data may persist in routine backups for a limited period, up to 90 days, before those backups are overwritten on their normal cycle. Backup copies are not used for any active purpose and are deleted on that schedule.
9. Third parties
Where a service provider processes your data on our behalf, for example our email or hosting provider, we instruct them to delete it too, to the extent they hold it and the law allows. Server log retention at our hosting provider follows that provider's standard schedule, described in our Privacy Policy.
10. No charge, no penalty
Deletion requests are free, and making one will never affect how we treat you. If we believe a request is manifestly unfounded or excessive, applicable law may allow us to charge a reasonable fee or decline it; we will explain our reasons if that ever applies.
